AVECO Annual Training Conference

The AVECO conference is back, and we are bringing only good things from 2021 - like hybrid options!

We are happy to announce that AVECO will host its 27th annual training conference in the backyard of our nation's capital - Washington, D.C. 

July 10-14, 2022

In 2022 the conference will be back to its full format which includes both general and breakout sessions. For those attending virtually only general sessions will be live streamed. VA speakers will be presenting their sessions virtually at this time, but should this plan change attendees will be notified.

 

Note: July 10th is included in our conference timeline as a travel day.  All in person attendees are encouraged to arrive on the 10th to allow enough time to begin bright and early on July 11th, however early arrival is not required.

 

Registration

Registration for the 2022 AVECO conference is now open!

Early registration is open until June 9, 2022:

Registrations submitted after June 9, 2022 will be assessed a $50.00 late fee.

Please note, the registration fee for 2022 has increased from prior years to account for higher location and technology costs.

Registration includes the following*:

    • Monday - beverage service and end of day snack.​

    • Tuesday - lunch buffet

    • Wednesday - luncheon with entertainment/speaker TBD

    • Thursday - farewell breakfast

*All virtual attendees will receive a registration kit and have access to those sessions flagged as hybrid on the conference agenda.

Cancellation 

Those needing to cancel their registration for a refund must do so by June 17, 2022.

Accommodations 

O' say can you see!! AVECO will be just across the river from our nation's capital - Washington, D.C. in 2022.  The week of July 11, 2022 we will call Arlington, VA's Doubletree by Hilton Crystal City home.

As of November 19, 2021 you are able to reserve your room under the AVECO room block. The room block is available for check-in on Saturday, July 9th, 2022 to check out on Friday, July 15th, 2022.

Room rates for both single and double occupancy rooms are $159.00 per night plus tax. You must make reservations by June 9, 2022 to be guaranteed the conference rate in the host hotel.

 

You can make reservations by hovering over the hotel image on the right and clicking Register Now, or by calling (703) 416-4100 to reserve by phone. Be sure to mention that you are attending the AVECO conference in order to receive the conference rate.


Contactless check-in and keyless entry is available by downloading the Hilton Honors app on your smart device, and becoming a Hilton Honors member. It's FREE!

Parking

Those commuting to the conference daily or driving into town for overnight stays can self park at the hotel's covered facilities for $19.00 per day/night.

 

Parking without conference validation will be charged $40 a day/night by the hotel.

Air Travel

The preferred airport for hotel proximity is Ronald Reagan National Airport.  The FREE hotel shuttle service will run every 30 minutes, and is a 6 minute drive one way.

The conference will officially begin at 8am on July 11th.  It is highly recommended that attendees arrive July 10th.

Plan Ahead - *UPDATED*

If your school or organization would like the hotel to be directly billed for your stay email the hotel's Accounting Office at USOTCHelpDesk@hilton.com to request a secured link for direct pre-payment.  If you have challenges please call 1-855-274-1414. Attendees who select this option will still need to have a card linked to their registration for incidental charges not authorized by your school.

 

Swag

Everyone loves swag, and its even better when it says AVECO!  To ensure you receive your swag on time please submit your conference registration no later than June 9, 2022.

Call and Response

To better prepare for your questions our presenters will begin accepting questions for session Q&As early.  Once you receive your Whova access notice from our Registration Committee, you will be able to log in and submit questions on topics of interest.

 

This option is now available. Please submit early questions no later than June 9th.

 

COVID-19

AVECO does not yet know what the Centers for Disease Control and Prevention (CDC) guidelines will be — or what protocols may be necessary for the city of Arlington, Virginia— regarding vaccination status and/or mask wearing for large convenings come July 2022. As such, we have not listed any vaccination requirements with which attendees must comply in order to register for the 2022 AVECO Annual Conference. We will continue to monitor national, state, and local guidance as the conference approaches to determine if AVECO will need to implement any restrictions or requirements for attendees prior to the event. If requirements for attendance change, registrants will be notified. Please check back often for more details as they become available.

Volunteer for Next Year

We know that our membership is filled with talented and energetic people, and we need your help to make our training conference the best it can be by joining one of our 5 conference committees.

Registration – Chair Danielle Downs; Co-Chair Andrea Wheeler 

The registration committee volunteers will support registration and logistics for the week of the conference to include: check-in of attendees, directional guidance to session rooms, Whova app session checkers, and assists with pre-conference preparation.

 

*Committee members must be able to arrive at the conferencing location one to two days prior to conference.

Program – Chair Andrea Wheeler; Co-Chair Claire Turner

Committee responsibilities include generating initial ideas for conference sessions, coordinating with VA officials on presentations for the conference, identifying and contacting presenters for each session, putting together the conference agenda, coordinating entertainment for the conference, handling logistics for presenters, securing each presenters presentation for posting to WHOVA, and communicating with AVECO membership and conference

attendees about registration and updates.

Access Committee – Chair Andrea Wheeler; Co-Chair Claire Turner

 

This committee’s role is to provide support and assistance to AVECO members who are in need of additional accommodation during our annual conference. The volunteers will assist the committee chairs in relaying special needs to the hotel, referral of resources and an immediately identifiable resource in case of an emergency during conference.

Audio Visual Committee – Chair Tamarkius Roby; Co-Chair Andrea Wheeler

The AV committee chairs are supported by two current AVECO member volunteers who assist them in the technical tasks associated with the operation of the annual conference.  

A daily check list during conference would include the following:

  1. Ensure microphones are working properly and can be heard through the whole room.

  2. Check that computers are connected to the hotel’s internet.

  3. Make sure all slides are downloaded on the computer for the presenter.

  4. Turn on all lights in the room.

  5. Report any issues to Amber and Roby immediately.

  6. End of the day - 

  • Make sure all radios/walkies are on the charger. 

  • Make sure all computers are shut down and secure. 

 
Sponsorship Committee – Chair Keith Dailey; Co-Chair Danielle Downs

The Sponsorship committee works to build closer ties between the business communities with its focus on gaining financial sponsorship resources for the Association of Veterans Education Certifying Officials (AVECO).  This committee’s relationship with the chambers is twofold.  One it will garner financial support for the scheduled AVECO conferences within the area. And secondly, it will allow large, medium, and small businesses to promote their products and or services and demonstrate their commitment to our veterans.
